Job summaryThe Ministry of Defence, Civil Service workforce isdiverse, with many different functions and professions ranging from cyber and digital transformation, police officers, security guards, trainers, human resources, teachers, psychologists, storekeepers, and policy secretariat staff to support the British Army.
An opportunity has arisen for a highly organised and motivated individual to join the Royal Army Medical Service (RAMS) Regimental Headquarters as the Regimental Headquarters (RHQ) Office Manager, RAMS Benevolence Manager and Committee Secretary. This varied role provides essential office management, governance, welfare and benevolence support to serving personnel, veterans and their families.
This position is advertised at 37 hours per week.
Job descriptionThe successful candidate will manage RHQ Central Office activity, specialist information systems, security and asset processes, while also acting as Secretary to the RAMS and RAMC Benevolence Committees. The post requires professional handling of sensitive information and close engagement with military personnel, welfare organisations and charity partners.
RAMS Benevolence Management Manage benevolence cases.
Maintain and update the Case Management System.
Produce case files and detailed summaries for serving and retired personnel, for consideration by the relevant committees.
Work closely with key Stakeholders.
Arrange and action BACS transfers in accordance with appropriate controls.
Act as the single point of contact for COBSEO (The Confederation of Service Charities).
Deliver presentations to Unit Welfare Officers and provide instruction and guidance on the Case Management System.
Undertake annual reviews of systems in line with government guidelines.
Provide advice on updates to committee Terms of Reference, benevolence governance and associated processes.
Engage with personnel leaving the Service to promote access to appropriate support.
Act as Secretary to Benevolence Committees, prepare agendas, supporting papers, detailed case reports and record Decisions & Actions
RHQ Office Management Manage the day-to-day operation of the RAMS Central Office, including oversight of contractors.
Line manage one Administrative Officer (AO).
Act as the subject matter expert for the SCRM (Subscriber Customer Relationship Manager) database incl. Accreditation and Security Manager responsibilities for SCRM.
Act as AIAR (Army Information Asset Manager) for all assets within RHQ RAMS.
Manage Joint Personnel Administration and Management Information Standard Report processes.
Act as Archive Manager and Computer Systems Manager for MOSAIC and SCRM.
Provide a single point of contact for Regimental and Assistant Secretaries regarding travel, costings and payments.
Troubleshoot complex administrative and operational issues.
Person specificationEssential skills required:- Proven office management, administrative or business support experience.
- Proven management ability, including the ability to manage competing priorities and workloads.
- Strong written and verbal communication skills, including the ability to take accurate Records of Decisions.
- Competence and experience in Microsoft Office applications and digital systems.
- Ability to handle sensitive and confidential information with discretion.
- Awareness of accounting and finance processes.
- Ability to build effective working relationships with internal and external stakeholders.
Desirable skills:- Previous military or Defence knowledge.
- Knowledge of welfare, benevolence or charitable support processes.
- Experience of case management systems, databases or information assurance responsibilities
