WREF is the global team that is responsible for the full lifecycle of planning, execution and operations of GSK's real estate portfolio. This includes defining the organisation's real estate and workplace experience strategy across our network; as well as leveraging our network of vendor partners to ensure delivery facility management and capital project services to GSK's global office portfolio. The team is set up in a matrixed operating model where a Centre of Excellence (CoE) is responsible for service strategy and process ownership, and regional teams are responsible for executing WREF's services.

Reporting to the WREF Head of EMEA, the Workplace Coordinator is responsible for supporting the Head of Region generally, ensuring system and process compliance in the delivery of regional services, and manage a program of events and communications to align the regional team and vendors.

In this role you will:
  • Support Head of Region for all GSK people related activities such as objective setting, performance review, learning & development calendar, mandatory training completion, onboarding of the new staff, team engagement survey etc.
  • Ensure regional compliance and alignment with GSK procedures. Mentor, coach, and train team on use of internal systems, processes, and policies as required. Includes Ownership of regions end to end travel and expense process.
  • Manage vendor set-up, onboarding, management and offboarding of suppliers.
  • Develop and oversee customer and team communications plans, including but not limited to events calendar, people/culture plan, internal comms plan etc.
  • Organise on-site and offsite meeting/townhall/events. Source, collate and distribute information and materials for meetings, liaising with GSK and Service partners as needed.
  • Provide administrative and operational support for regional WREF leadership team including but not limited to planning, scheduling and facilitating of meetings, booking travel, submitting expense reports, document management and purchasing (PO Creation and Invoicing) etc. Leveraging the services of offshore support as appropriate.

We are looking for professionals with these required skills to achieve our goals:
  • Secondary (High School) qualification
  • Strong process skills: can manage a piece of work from beginning to end in a rigorous, accurate and disciplined manner.
  • Excellent and high level of expertise in standard MS Office software (word, excel, PowerPoint).
  • High level of integrity and ability to maintain confidentiality of information.
  • Excellent data gathering and analytical skills with critical attention to detail.
  • Proactive thinker and self-starter who can work independently.
  • Strong organisational and administration skills.
  • Comfortable in collaborating with all levels of the organisation.
  • Ability to prioritise important tasks and complete them timely and accurately.

Preferred Qualifications & Skills:

If you have the following characteristics, it would be a plus:
  • Tertiary (post secondary) qualification in Business, Real Estate or Facilities related discipline
  • Good understanding of office environments / workplace facilities.
