As our Workplace Coordinator, you'll play a pivotal role in overseeing various facets of our office environment. From managing visitor interactions, internal meetings & events, employee engagement and maintaining facilities matters raised. Your outstanding organizational and interpersonal skills will be crucial in delivering exceptional client service within a small team.

Key Responsibilities:

• Oversee required maintenance/repair work, partner relationships, and facilities projects.

• Coordinates, oversees and/or manages repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, landscaping and janitorial work.

• Manage vendor relationships, process invoices, and ensure proper cost center coding.

• Prepares and reviews periodic reporting to our client.

• May provide informal assistance such as technical guidance and/or training to coworkers.

May coordinate work and assigning of tasks.

• Establish and maintain strong relationships with internal stakeholders.

• Collaborate with departments to identify opportunities for enhancing the Workplace and Facility services experience.

• Address client concerns, providing timely resolution and ensuring high satisfaction levels.

• Develop and manage a workplace amenities program to enhance employee satisfaction and well-being.

• Identify and implement amenities aligning with employee needs and preferences.

• Coordinate with vendors for the smooth operation and maintenance of amenities.

• Help to create and document standard operating procedures (SOPs) related to site operational playbooks.

• Implement and ensure adherence to established processes to streamline operations and improve efficiency.

• Continuously evaluate and update processes to align with industry best practices.

• Serves as a point of contact and team representative of the Workplace Experience Team with the client and on-site service providers.

• Acts as a local expert and a gateway for employees to connect with the surrounding community.

• Builds a network of local contacts (food, arts, culture, etc.).

• Stays abreast of news and events in the region and shares them with colleagues.

• Coordinates any moves, adds and change activities.

• Oversee internal communication channels, including Slack, emails, and other relevant platforms.

• Develop and implement communication strategies to keep employees informed and engaged.

• Create and distribute regular newsletters, announcements, and updates on company news, events, and initiatives.

• Collaborate with different departments to gather relevant information and ensure accurate and timely communication.

• Coordinate promotional campaigns and initiatives, including employee recognition programs, company-wide contests, or employee referral programs.

• Monitor and analyze the effectiveness of internal communications and promotional activities, making improvements as necessary.

• Encourage employee participation and engagement through interactive and inclusive communication methods.

• Act as a liaison between departments to foster collaboration and information sharing.

Education

• Bachelor's degree in hospitality management, Business Administration, or a related field (preferred but not essential).

• 3 plus years of proven experience in Hospitality, Facilities, or a similar role.

• Excellent interpersonal and communication skills.

• Strong organizational and time management abilities.

• Proficient in Microsoft Office Suite and facility management software.

• Detail-oriented with a focus on delivering exceptional customer service.

• Ability to multitask and prioritize tasks in a fast-paced environment.
