Technology Team Administrator

Location: Primary location Chester/occasional travel to London office
Reports to: Head of Group Technology

Contract: Permanent/full time/hybrid working

Purpose of role

The Technology Team Administrator keeps the Group Technology function running smoothly day to day, covering budget and supplier administration, travel, events, and departmental operations.

The role suits someone highly organised and proactive who wants to build a broader understanding of technology delivery. As experience develops, there is scope to work across infrastructure, applications, cyber security, data, and change programmes, with a pathway into PMO, business analysis, supplier management, service management, or technology operations.

Key responsibilities

Budget and supplier administration
  • Support the team's operational and project budgets; raise purchase orders and track them through approval, invoicing, and payment.
  • Assist with monthly reconciliations, accruals, forecasting, and financial reporting.
  • Maintain records of supplier contracts, support agreements, spend, and renewal schedules, flagging key renewal dates in good time.
  • Work with Finance, suppliers, and technology managers to resolve invoice and payment queries.
  • Support cost optimisation by gathering quotations, tracking licence utilisation, and assisting with negotiations.
  • Coordinate supplier onboarding and support due diligence exercises.
Travel, events, and logistics
  • Coordinate UK and international travel: flights, rail, hotels, visas, and itineraries, optimising cost where possible and providing support during disruption.
  • Maintain travel records and assist with expense administration.
  • Organise Town Halls, strategy days, workshops, leadership events, and team socials, including venues, catering, AV, communications, and attendees.
  • Work across Chester, London, and other sites so everyone can take part, and gather feedback to improve future events.
Administrative and operational support
  • Provide administrative support to the Technology leadership team, including diary and meeting coordination.
  • Prepare agendas, presentations, and meeting materials. Ensuring reporting deadlines are met.
  • Maintain departmental records, documentation repositories, operational trackers, and process documentation.
  • Support onboarding for new team members, contractors, and suppliers.
  • Act as the central point of contact for administrative queries across the function.
  • Assist with hardware ordering, software licensing, and asset management, and support operational processes across infrastructure, applications, cyber security, and service management.
  • Help coordinate internal technology communications and awareness activities.
Development opportunities

With experience, the role will broaden to include supporting technology and business change initiatives: tracking actions, coordinating across delivery programmes, contributing to process improvement and automation, and supporting testing, documentation, training, and communications.

Knowledge, skills, and experience

Essential
  • Experience in an administrative, coordinator, or team support role
  • Excellent organisational and planning skills, with strong attention to detail
  • Strong written and verbal communication
  • Sound financial administration and record-keeping
  • Confident with Microsoft 365 (Copilot, Outlook, Teams, Excel, Word, PowerPoint)
  • Able to manage competing priorities and deadlines
  • Strong stakeholder management and customer service skills
Desirable
  • Budget administration or supplier and contract management experience
  • Travel and event coordination
  • Experience in a technology, professional services, or corporate environment
  • Interest in technology, innovation, or business transformation
