Shopping Centre Administrator – with operational duties and responsibilities.

Role Purpose

Tunsgate Quarter is seeking to appoint an Administrator with operational duties and responsibilities to join the team. Situated between the historic cobbled High Street and medieval castle, With its premium retail offer Tunsgate Quarter is Guildford’s most stylish place to shop and eat.

As well as being based at Tunsgate Quarter, you will be joining CBRE’s Property Management team. Offering a host developmental learning and experiential opportunities there is room to grow and develop your career in this exciting part of the business. 

Summary of Role

Coordination & supervision of site operations and administration. Monitor site Health & Safety arrangements & statutory compliance. Recording & reporting of accidents and incidents. Supervision of contractor arrangements, activities and performance. Site administration of service charge budget and reporting requirements.

Key Responsibilities

  • Supervise & coordinate daily site operations.
  • Report to the Centre Manager / Property Manager any matter that may be to the detriment of the property.
  • To create and maintain good relationships with all tenants and report commercial intelligence accordingly
  • Assist in the organisation and implementation of all promotional activities if applicable.
  • Monitor site Health and Safety compliance, ensure CBRE Management Services Limited H&S policies and procedures are enforced accordingly.
  • Maintain records of accidents/incidents in line with CBRE’s reporting procedures.

Commerciality

  • Administer service charge budget expenditure for the property in accordance with the timescales set by the management team.
  • Liaise with key stakeholders within the local community to promote positive engagement.
  • Ensure adherence to the Company’s Procurement Policy at all times to enable quality and best value to be achieved.

Quality Control

  • Ensure regular inspections of the property are conducted, observations should be actioned accordingly within appropriate timescales.
  • Liaise with occupiers regarding their activities ensuring all works are completed in accordance with site procedures and statutory obligations.
  • Monitor supply partner performance, ensure effective delivery of services, record and report accordingly.

Compliance

  • Be responsible for the control of all activities relating to the property, reporting and taking action as appropriate in accordance with site rules and lease agreements in place.
  • Ensure full compliance of all Health, Safety and Environmental policies and adherence to corporate and statutory responsibilities, and the effective use of the Health, Safety and Environmental management system to maintain relevant records.
  • Review property’s Major Incident Plan on an annual basis and update accordingly.
  • Liaise with local authorities and statutory bodies as appropriate.
  • Maintain and control all aspects of Health, Safety and Environmental requirements and operational issues for major works programmes within the property. 
  • Ensure ESG data collation and reporting including initiatives, events and placemaking where applicable.

Person Specification/Requirements

  • Experience of working with or for a Managing Agent
  • Proven ability to understand and analyse data
  • Excellent planning and organisational skills
  • IOSH or NEBOSH accreditation is desirable but not essential
  • Financial Management including service charges
  • An understanding of building operations would be desirable but not essential
