Operations Specialist

GSC R&D Engineering Services provides Facilities Management and Capital Projects delivery for Technical R&D sites within GSC's Engineering and EHS organisation.

As the Operations Specialist, you will help us to lead finance, governance, and engagement processes whilst striving for harmonization at R&D sites. This role will work to embed programs and initiatives through optimization, simplification, and working across boundaries to partner closely with local site operations teams and Service Partner teams to ensure a consistent approach is taken with respect to financials and processes in support of the business.

This role will foster a culture of transparency and trust with operations teams, service partners and customers by being present a minimum of 3 days on site per week.

In this role you will:
  • Act as lead and business point of contact for the roll of any GSK-wide or R&D Engineering Services programs. Take responsibility for the development and management of 'sub' processes and systems that bridge the gap; interface between GSK and Service Partners ensuring effective controls are maintained.
  • Act as point of contact for standard working processes and ad hoc finance and budget requests ensuring robust interfaces with key stakeholders, adherence to the financial calendar and budget timetables.
  • Act as data management process owner including collection, storage and indexation of operational, financial and compliance data and documents in Sharepoint and other storage mediums in line with audit requirements, global policies and standards ensuring material is kept up to date, securely stored electronically and disposed of after useful life.
  • Drive improved Service Partner performance, support development and implementation of benchmarking, internal client feedback and innovation programs to include data analysis and visualization of information for key decision-making and improvement opportunities.
  • Ongoing process analysis and development to drive simplification and standardization of policies and procedures for site operations, including interfacing with other GSK functions, service partners, and stakeholders.
  • Manage annual financial processes - OPEX budget and update setting process, review actual spend with budget owners monthly identifying variances and areas for improvement, monthly reconciliations and 'true-ups' of actual vs budget spend by contract category for all Service Partners including posting of accruals.

We are looking for professionals with these required skills to achieve our goals:
  • Holds degree in Business, Science or Engineering
  • Experience with developing and managing processes and systems that bridge the gap and interface between GSK and Service Providers while ensuring effective controls are maintained.
  • Experience with managing annual financial processes, OPEX budgets and update setting processes, including review of actual spend with budget owners.
  • Experience supporting and driving programs in support of Culture & Engagement for the organization.

Preferred Qualifications & Skills:

If you have the following characteristics, it would be a plus:
  • Experience with data management including collection, storage and indexation of operation, financial and compliance data and documents in SharePoint and other storage medium in line with audit requirements.
  • Experience engaging with site teams and delivery partners to identify and implement continuous improvement initiatives in the provision of workplaces experience services.
  • Experience with overseeing the development and implementation of change management strategies and plans that maximize employee adoption and usage of new services, systems and space.
  • Ability to establish strong working relationships with key external contract partners, to deliver appropriate site services in agreement with established contracts.
