Job Title: PA (Board)

Division: UK Fit Out Division - Agility

Location: London

Role Purpose

To deliver quality, accurate, timely and effective PA support to the Agility Managing Director and Commercial Director, and senior teams when relevant. This role requires someone who can work on their own using initiative, delivering high quality, accurate and effective PA, and administrative support. Your interpersonal skills will be polished and you will be a pivotal member of the Fit-Out business. You will be flexible and forward thinking and willing to become involved in all aspects of support.

Key Accountabilities
  • To deliver quality, accurate, timely and effective PA support.
  • Manage extensive diaries in a proactive manner, to ensure that all meetings, appointments, events and tasks are effectively scheduled, prioritised and executed.
  • Inbox management for Managing Director
  • Draft and proof-read correspondence on behalf of the Managing Director
  • Professional and courteous filtering of external and internal calls, emails or meeting requests.
  • Providing support to other Board members for example: powerpoint slides, event/large scale meeting organisation
  • Act as a main point of contact for all internal teams, filtering through action points
  • BPR (Business Performance Review) collation, input and submission in accordance with key deadlines
  • Timely co-ordination of the cluster's MPR (Monthly Performance Reports) in advance of the meetings.
  • Book internal and external meeting rooms, restaurants, or relevant meeting location for all appointments, with catering as required.
  • Arrange necessary travel and accommodation accordance with our process/polices.
  • Reconciliation of both company and personal expenses for Managing Director and Commercial Director
  • Attendance at meetings to support on items including tracking the progress of actions points to ensure they are closed out (as appropriate), and/or the production of the minutes and papers.
  • Manage the organisation of staff and client events, advising on dates, locations and key information (attendance management, allergens awareness, accessibility requirements, etc.)
  • Source cost effective and suitable function rooms / locations for events
  • Co-ordination of annual Business Unit Comms event including arranging venue and attendees, plus assisting with content and facilitating awards.
  • Creation of quality power point presentations for internal and external use, in line with ISG branding. Understand and implement ISG brand into all documents produced, liaising with the marketing team to develop and produce appropriate marketing materials for presentations and cluster communications were relevant.
  • Build a solid relationship with HR team and liaise with them on recruitment, probations, leavers and any other HR administrative areas.
  • Support onboarding of all senior staff members and ensure that their IT equipment, introduction itinerary and key points of contact list are in place for their first day. Additionally, ensure non-senior staff joiners are on-boarded correctly via Agility cluster PA.
  • Provide accurate and timely updates for cluster Relationship Matrix to ensure the SLT are meeting and maintaining relationships with relevant consultants.
Skills & Experience
  • Proven experience of working in a similar PA role
  • Knowledge and experience of the Construction industry is preferred.
  • Microsoft Office (Work/Excel/PowerPoint) to an advanced level.
  • Attention to detail and accuracy.
  • A confident professional manner.
  • Able to communicate positively and effectively with internal and external teams.
  • Highly organised, able to plan and manage conflicting priorities.
  • A flexible approach.
  • Able to maintain strict confidentiality in all work-related matters.
  • Brand awareness and ability to present work to a high standard.
  • Able to remain calm under pressure.
