Job summaryWe are currently recruiting a Ward Clerk position to joinour friendly team on Ward 16 (ring fenced elective Orthopaedic Ward.).
The position is for 15 hours per week, work time is 3pm to6pm , Monday to Friday.to provide clerical and administrative support on theward, alongside the clinical staff.
Main duties of the jobToprovide clerical support. To ensure the availability of accurate patientrecords and documentation as per Trust policies and procedures. To deal withpatients, relatives and other members of the public politely and efficientlyand ensure confidentiality and security of patient information as per Trustpolicy.

Job description Job responsibilitiesTo provide a reception service, dealing with initialenquiries, gathering basic information and taking initial action within definedprotocols to assist in resolving any queries.
To keep staff informed of admissions and discharges, andto deal with queries from other members of staff and members of the public, inperson or on the telephone.
To receive general telephone calls, recording messagesand dealing with initial enquiries, referring the call to the relevant memberof staff, as appropriate. To assist inadmitting and discharging patients using manual and computerised systems.
To file reports, correspondence, forms, etc. inpatients notes in an ordered manner, to facilitate the efficient retrieval ofsuch documentation on request.
To update and maintain filing systems in theward/department to enable timely and accurate information retrieval.
To arrange transport between departments and todestinations outside the hospital, as required.
To assist with housekeeping duties withinward/department.
To maintain effective communication with ward clerk /clerical team assistant colleagues within the department.
To provide relief cover within the Directorateundertaking any duties within the scope of the ward clerk / clerical teamassistant role.
Arrangefollow up appointments for patients prior to discharge.
Ensurethat patient case notes are available, creating temporary notes whilst originalnotes are located. Maintain case notes in a tidy manner, filing results andother patient documents in accordance with Trust policy, including admissionand discharge of patients. Ensure that all case notes movements are tracked onPAS.
Facilitatethe prompt collection of data by liaison with the clinical coding department.
Orderingand tracking of case notes.
Providegeneral clerical support such as photocopying, typing, opening and sendingpost, stock and equipment ordering and monitoring, stationary orders, personneladministration, arranging repairs.
General Duties: To ensure the confidentiality of all patient informationand Trust business.
To comply with all Trust Policies and Procedures.
In accordance with the Trust's Health and Safety Policy,the postholder must take reasonable care of their own health and safety andthat of others who may be affected by their acts or omissions at work.

To report any accidents, untoward incidents andcomplaints.
