Job overview

The Division of Surgery, Cancer and Cardiovascular are looking for an enthusiastic and dedicated Administrator to join the Vascular Surgery Team. Accountable to the Service Support Manager, you will play a pivotal role in delivering operational standards within the Vascular Surgery service.

The Band 3 post holder will be responsible for working closely with the Vascular Clinical Nurse Specialist team to help manage patient waiting lists, for both theatre and non-theatre lists across two sites (St Marys Hospital and Charing Cross Hospital). The post holder will support the clinical team in delivering excellent care for our patients by providing an effective and efficient clerical support service.

The successful candidate will be approachable, have excellent communication skills with the ability to develop key working relationships with all levels of staff including consultants, junior medical staff and nurses. They will also have the ability to work independently, as part of a team and within the values of Imperial College Healthcare NHS Trust. There will also be the opportunity to take a role in on-going development of the service and contribute towards team projects.

Main duties of the job

  • Deal with queries from GPs, Doctors, wards, and other departments over the phone and in person in a calm and polite manner and in accordance with CPG and Trust policy.
  • Provide basic information to patients / visitors / carers, such as providing directions to other areas of the hospital / daily waiting times.
  • Provide basic clinical information to patients / carers who are undergoing procedures within the unit.
  • Telephone patients to remind them of their appointment time and date.
  • Provide empathetic verbal support for patients / carers via face-to-face contact and over the phone.
  • Handle sensitive issues with tact and diplomacy.
  • Use hospital information systems to track medical notes, process patients, book appointments and carry out any other tasks associated with the system.
  • Send out non-attendance letters promptly.
  • Booking of patients within the unit using the hospital information system and send out all booking details and corresponding material.
  • Order any stock items as necessary for the unit.
  • Ensure tests are accepted, booked and reported in accordance with department procedures in a timely manner.

  • Previous experience working in the NHS
  • Knowledge of hospital Patient Administration System (PAS)
  • Previous experience of dealing with patient's appointment and booking system.
  • Knowledge of medical terminology.
  • Experience of having working relationships with clinicians, GPs, managers, consultants and other clinical staff.


Desirable criteria
  • Service sector Work (preferably hospital).

  • Excellent interpersonal skills.
  • Ability to work within a team as well as independently with a professional approach towards work and colleagues.
