Job title: Registry Assistant
Reports to: Registry Officer
Responsible for: N/A
Service: Registry (Academic Registry)
Grade: RU04
Main purpose of the job: To provide efficient, effective, accurate and responsive administrative support service for the Registry Office
with high levels of customer service to students, staff and external parties. The role of the Registry Assistant
is to assist with all aspect of work within the Registry Office but will be expected to undertake specific tasks
and duties during key times of the year.
Main duties and responsibilities: 1. To be part of the team providing front-line support in Registry handling enquiries; 2. To assist in maintaining paper and electronic student records including information concerning student
registration, assessment and awards; filing and archiving paper student records as required; 3. To work as part of the central student administrative and department administrative teams to ensure
efficient and effective service delivery; 4. To assist in organising the formal examination periods including preparation of examination papers;
timetable; seating plans; attendance; invigilation and special examination needs for individual students; 5. To assist with the administration for the University Awards & Progression boards and communicating
decisions to students and staff; 6. To assist with the preparation of data for certificates and liaising with external printers for production
and delivery. To attend and issue certificates to graduating students for relevant degree ceremonies; 7. To assist with the administration of academic appeals liaising with students, programme convenors
and the Deputy University Secretary; 8. To assist with induction and registration procedures and to take an active role during enrolment, when
required; 9. To gather and disseminate information on request from the Registry Officers, Senior Registry Officers
and Deputy Academic Registrar; 10. To undertake any other requirements commensurate with the seniority of the post/as required by the
head of service.

Knowledge and skills
Essential
• The role will require a service-oriented approach • Computer literacy in MS Office applications including Word,
Excel, Outlook and a willingness to learn and use new software programmes
• An ability to work collaboratively and proactively with colleagues within the Department and from different areas of the University
• With input from Registry Officers, an ability to organise workload efficiently under pressure and prioritise between tasks to ensure deadlines are met
• The role will require solving standard day to day queries as they arise, e.g. from current and former students, employers
• Excellent attention to detail • An ability to ensure accuracy in one's work
Desirable • An understanding of the student-related academic cycle in
higher education and related administrative processes
Work experience Essential
• Administration experience in an office and customer service environment
• Experience of using databases to collate and disseminate data, as well as data entry
Desirable • Previous experience working in a similar role in the HE sector
Communication skills
Essential
• The role will require excellent verbal communication skills to give careful explanation to procedures to students and staff, both face to face and over the telephone
• The role will require a good problem-solving mindset and the willingness to liaise with other internal colleagues and find solutions for students quickly and efficiently
• Written communication skills to prepare emails, letters
Desirable • Written communication and data skills to contribute to
reports.

• The role holder will regularly be required to input or handle large amounts of data
• Some weekend, evening or holiday work may be necessary on occasion
Additional Information • The University operates service-led hybrid working arrangements which may allow for 3 days
in the office and 2 days working from home although peak times might require flexibility and any hybrid arrangement will be determined by the service and in agreement with the line manager.
• Your normal hours of work will be 35 hours per week, plus unpaid lunch break of one hour each day.
