Job summaryTo provide a comprehensive range of administrative services to the team including uploading referral onto SystmOne, sending appointment and clinical letters, reception cover.
Main duties of the jobThe Team Support member will provide a full administrative service having daily liaison with a wide range of staff at all levels. They will have daily contact with service users and their carers who at times may be distressed, angry or posing a threat to themselves. The Team Support will be responsible for ensuring the effectiveness of the office environment for the team.

Ensure that all documents and correspondence is dealt with correctly being filed either in paper format or uploaded into the electronic patient record system.
Recording attendance at out-patient appointments by service users on the electronic patient record system.
Process all 48-hour discharge letters to GPs once a service user has been discharged from the service in accordance with Trust policy.
To be responsible for processing and sending out-patient appointment letters once typed and approved with a variety of self-help information when advised to do so.
Open and process incoming and outgoing mail for the team.
Ensure all information is handled in a confidential manner in line with relevant policies.
Responsible for maintaining comprehensive repeat prescription filing system.
Organisation of non-urgent patient transport for service users when requested by care co-ordinator.
Photocopying, faxing and filing as required.
Maintaining stationery supplies and requesting items to be ordered timely by supervisors.
Assist in the induction and training of new staff.
Provision of cover for other members of the administration team.
Any other administrative tasks appropriate for the grade.

Person Specification Qualifications Essential - NVQ 3 or equivalent
- RSA 3 or equivalent evidenced experience
- GCSE or equivalent at Grade C or above to include English and Maths.
Knowledge/Experience Essential - Proven experience of a range of administration and secretarial procedures
- Proven typing experience including audio typing
- Experience of producing documents to a high standard of presentation and accuracy
- Experience of generating own correspondence
- Experience of maintaining office systems
- Experience of working as part of a team
