Job overview

This is an exciting opportunity to work in an extremely busy Trust, providing admin support to the Breast Surgery Department at St Bartholomew's Hospital.

The team requires a highly organized Patient Pathway Coordinator to provide a range of duties. They will be responsible for actively managing the administrative processes of Breast Surgery department and patients, the associated administrative staff, to ensure a smooth and efficient pathway from referral to treatment.

Candidates must have excellent communication. Administrative and typing experience. Undertake patient pathway validation for Breast Surgery to ensure Referral to Treatment and Cancer Waiting Time access targets are adhered to.

To ensure there a high standard of medical secretarial support is available to the clinical teams and monitor turnaround time of typing to ensure it is completed within acceptable timeframes.

Provide cover for other administration managers within the Division during periods of annual leave and sickness.

Main duties of the job

The purpose of this post is to actively manage the administrative processes of patient pathways, ensuring a smooth and efficient service for patients throughout their treatment by the Trust. Also, to ensure and participate in providing an effective administration service to the multidisciplinary team.

Manage the administrative processes associated with patient pathways and the functioning and effectiveness of clinical teams. This includes ensuring that Cancer 2WW/ 18-week access target and other quality targets are met.

Be a key contact in providing patients with access to healthcare professionals, information on appointments and assisting with other queries.

Manage clinic profiles to ensure capacity is used efficiently, including regular monitoring of clinic utilisation and use of corrective actions on CRS (the Trust's patient information system) when required & eRS (Electronic Referrals System).

Be responsible for the provision of an efficient and effective secretarial/PA service to a multidisciplinary team, including implementation of digital dictation/voice recognition services and quality assurance of the documents and their distribution. Work closely with the multidisciplinary team to ensure all correspondence is dealt with quickly and efficiently.

Undertake small amounts of typing when letters fall outside of the remit of the trust digital dictation system.

Implement Standard Operating Procedures (SOPs) and contribute to the development of SOPs.

Qualifications

Essential criteria
  • GCSE, A level or equivalent standard of education


Experience

Essential criteria
  • administration/ medical secretarial/ pathway experience or equivalent
  • Acts responsibly as a team member and seeks help, and escalates issues, as necessary
  • Ability to use and maintain resources efficiently and effectively and encourage others to do so
  • Able to monitor quality of own work and others
  • Able to work within set time frames working to priorities and deadlines
  • Demonstrable success in managing change
  • Worked in a multi-disciplinary team across departmental/service boundaries


Desirable criteria
  • Previous NHS experience


Knowledge

Essential criteria
  • Working knowledge / understanding of national Access targets with respect to the patient pathway and 18 week RTT rules.
  • Good understanding of medical terminology


Skills

Essential criteria
  • Excellent verbal and written communication skills including a good telephone manner
  • Methodical and logical approach to work prioritisation and planning
  • Competence with a range of IT packages, e.g. Microsoft, eRS, and CRS
  • Ability to provide constructive opinions and views on ideas for service improvement
  • Ability to assess risk and report any issues that may put Health and Safety at risk
  • Ability to produce correspondence & reports to a high standard
  • Ability to communicate professionally at all levels and experience of dealing with patient anxiety in a reassuring manner
