The Role
Provide high-quality coordination and administrative support across the executive recruitment process. Ensure candidate activity, assessments, interviews, stakeholder engagement, reporting, and recruitment systems are managed accurately and professionally, delivering an exceptional candidate and stakeholder experience.
Key Accountabilities
What you'll do:

Candidate & Stakeholder Coordination
  • Act as the primary coordination point for candidates, recruiters, hiring stakeholders, Partners, assessors, and the Programme Office.
  • Deliver a professional, responsive, and confidential candidate experience throughout the recruitment process.
  • Communicate clearly on process status, actions, timelines, and next steps.
  • Manage changes, competing priorities, and scheduling conflicts effectively.
Recruitment Process Management
  • Coordinate end-to-end recruitment activities, ensuring all process steps are completed accurately and on time.
  • Monitor candidate progression and maintain momentum throughout the hiring journey.
  • Identify and escalate risks, delays, blockers, or process exceptions.
Assessment & Testing Administration
  • Coordinate SHL and behavioural assessments, ensuring completion at the appropriate recruitment stage.
  • Track assessment progress, follow up on outstanding actions, and maintain accurate records.
  • Liaise with qualified assessors and Partners to support successful completion of testing activities.
Interview & Stakeholder Scheduling
  • Coordinate complex diaries for executive interviews, panel assessments, and socialisation calls.
  • Prepare and distribute accurate meeting invitations, supporting information, and interview logistics.
  • Manage rescheduling requirements and ensure stakeholders are fully briefed.
Reporting & Data Management
  • Maintain accurate candidate records within Greenhouse, Workday, and other recruitment systems.
  • Produce recruitment pipeline reports and management information for the Programme Office and senior stakeholders.
  • Conduct regular data quality checks and resolve discrepancies.
  • Ensure reporting reflects current pipeline status, risks, actions, and next steps.
Governance & Confidentiality
  • Maintain accurate documentation, audit trails, and recruitment records.
  • Ensure compliance with recruitment processes, data privacy requirements, and confidentiality standards.
  • Support continuous improvement by identifying opportunities to enhance processes and service delivery.
Skills & Requirements
Must Have
  • Previous administration or coordination experience within recruitment, HR, executive search, or professional services.
  • Strong organisational skills with exceptional attention to detail.
  • Experience managing multiple priorities, deadlines, and stakeholders simultaneously.
  • Excellent written and verbal communication skills.
  • Strong diary management and interview scheduling capability.
  • Experience using recruitment, HR, or applicant tracking systems.
  • Ability to produce accurate reports and maintain high data quality standards.
  • High level of discretion when handling confidential information.
  • Proficiency in Microsoft Outlook, Excel, Teams, and PowerPoint.
  • Proactive approach with strong problem-solving and follow-through skills.
Nice to Have
  • Experience supporting executive or senior-level recruitment processes.
  • Knowledge of Greenhouse and/or Workday.
  • Experience coordinating psychometric, behavioural, or assessment testing.
  • Exposure to programme management, governance, or project reporting environments.
  • Understanding of talent acquisition, executive search, or talent mobility processes.
  • Experience working with senior leaders or executive stakeholders.
