As an office coordinator, you will:
  • Be a visible, accessible front-of-house member of the Facilities team, providing a warm welcome and help with any Facilities-related queries to all staff and visitors
  • Coordinate and support the preparation of Bignell facilities for events, and be on hand to support with execution to ensure they go smoothly
  • Take ownership of the company mainline, taking and transferring calls effectively and professionally, and provide training and support to new call group members
  • Monitor and report on mainline call answering performance to support with the delivery of a 5* service
  • Manage inbound post to ensure it reaches its destination promptly, and outbound post to ensure it is stored safely and collected when it should be
  • Manage the visitor booking and arrival/departure process to ensure they are warmly welcomed, offered refreshment etc. and collected promptly
  • Manage the provision, replacement and return of access cards for all staff and visitors
  • Work closely with the Bignell Park Office Lead to help optimise the office experience for all staff and visitors
  • Provide tours as required as part of new staff and visitor orientation
  • Support the Facilities team with the arrangement of both routine maintenance and project-related activities across DM's estate, in line with the team's business plan
  • Take care of our indoor plants and proactively improve our office spaces for the benefit of all

The successful candidate will:
  • Excellent customer service skills
  • Strong time management
  • Administrative and organisational skills with high attention to detail
  • Proficient in the use of the Microsoft suite of applications (Outlook, Word, Excel etc.) for communication and document generation
  • Positive, can-do attitude
  • Has an aesthetic sensitivity (able to instinctively arrange items and objects in a manner which is practical and visually pleasing)
