Job overview

An exciting opportunity has become available within our Endoscopy Booking Office for an Administrative Assistant working 27 hours per week. The position is based Monday to Friday within our office opening hours of 9:00am to 5:00pm.

Applicants must be available to work on Fridays and, ideally, Mondays, with the remaining working days to be agreed upon.

Certain days may be required initially to support induction and training requirements.

We are looking for an enthusiastic, flexible, and reliable individual who is motivated, conscientious, and possesses excellent interpersonal and communication skills. The successful candidate will be able to work effectively as part of a team while contributing to the delivery of a high-quality administrative service.

Main duties of the job

You will need to be motivated, hardworking and have excellent administration and communication skills. The successful candidate needs to be a strong team member, conscientious and have a flexible approach. The main duties of this role is to provide an efficient and responsive admin support to the Endoscopy bookings team. Monitoring generic email accounts, adding waiting list entries to the PAS system and ensuring RTT clocks are started, being a point of contact for patients and colleagues, answering incoming calls and helping to monitor answer phone service. The successful candidate needs to be able to demonstrate excellent attention to detail, have the ability to juggle priorities, to be a strong team member and excellent communication skills are essential.

Essential criteria
  • Educated to GCSE (or equivalent) to include English and Maths Grade C or above
  • A Level / NVQ 3 (or equivalent) Administration or Customer Service knowledge and experience
  • Additional training and skills to diploma level in IT


Desirable criteria
  • Waiting List management experience


Experience

Essential criteria
  • Use of electronic patient record systems such as the Patient Administration System (PAS)
  • Previous experience working in NHS/waiting list administration
  • Previous experience in dealing with members of the public.
  • Experience using specialist IT applications in the work place

  • Previous experience dealing with people who may be distressed, upset or angry


Skills

  • Understanding of appointment systems.
