Job summary

This exciting Administrative Officer role sits within Women's Services at Leeds Teaching Hospitals NHS Trust and provides vital administrative and clerical support to the Obstetrics and Gynaecology Department. Based at St James's University Hospital, you will work closely as part of a multidisciplinary team to support the delivery of safe, effective and patient-centred care.This is a fixed-term role for 12 months.The role provides comprehensive administrative support across the Obstetrics and Gynaecology department. Key responsibilities include coordinating meetings, preparing agendas and minutes, maintaining databases and action trackers, typing clinic letters, and supporting with the timely booking of clinics in line with the effective management of patient pathways. The successful postholder will be expected to work flexibly in response to the needs of the service.Previous administrative experience is essential and experience within the NHS or healthcare environment would be advantageous.
Main duties of the job

The post holder will be required to provide effective administration and clerical support to the Obstetrics and Gynaecology department. The post holder will be responsible for inputting data onto internal and external databases and undertaking general administrative duties such as organising meetings and minute taking, and at times contacting patients to organise appointments. The post holder will be expected to arrange and plan their own work on a day-to-day basis within the overall demands and priorities of the department.Please see Job Description for further information.

We are looking for someone who can demonstrate the following:
  • Highly organised with excellent time management skills and the ability to prioritise a varied workload.
  • Strong administrative experience, including meeting coordination, minute taking and document management.
  • Excellent attention to detail and a commitment to maintaining accurate records and governance documentation.
  • Confident using Microsoft Office applications, databases and electronic record systems.
  • Excellent written and verbal communication skills, with the ability to build positive working relationships.
  • Proactive and self-motivated, able to work independently and use initiative to solve problems.
  • Experienced in monitoring actions, maintaining trackers and supporting reporting and assurance processes.
  • Adaptable, flexible and able to manage competing priorities in a busy environment
  • Committed to maintaining confidentiality and handling sensitive information appropriately.
  • A collaborative team player who is committed to quality improvement, patient safety and excellent service delivery.
