The Business Excellence Team is responsible for continuous improvement and employee engagement. The role supports BOTH of these functions.

The Business Excellence Team are responsible for supporting the business in implementing improvement systems necessary to drive DVSA towards excellence and to deliver the systems necessary to demonstrate the compliance of our practices and approaches. Continuous Improvement is recognised across government as the key to leading and inspiring our people, and meeting our customers’ needs. Business Excellence managers are geographically dispersed across England and Wales.

The Staff Engagement team are responsible for the annual staff survey and managing the administrative aspects required to set up the staff survey tool.

This post holder will be involved in liaising with team leaders within Directorates across DVSA to gather information needed to support the survey. During collation of this information a typical day for the post holder would be to contact team leaders by e-mail, telephone or in person to request details about the number of people, and location of members, on each team. The post holder will input this information into the Survey Set up tool which is an electronic database. During the month long period when the survey is live, daily reports need to be gathered, on response rates. These are reported to Directors on a regular basis. Following the release of survey results, each team across the business is issued with a report and the post holder would be involved in extracting and circulating these reports by e-mail. Teams around the organisation, then go on to produce team action plans using information in their survey reports as a starting point. As part of the staff engagement team, this post holder will help monitor progress of team action plans on a quarterly basis by contacting team leaders for updates and recording outcomes on a “dashboard” excel document. This information is used for reporting to Business Performance Board and to inform further staff engagement activities throughout the year.

A staff recognition scheme called the “Good Egg” scheme operates within DVSA. As part of this role the post holder will help with administration of the scheme, by developing contacts with the team of voluntary “Good Egg” co-ordinators located across the business. The post holder will help launch nomination and voting periods for the scheme, contact all the co-ordinators after each round of voting for details of winners and produce certificates to be sent out to winners. Records of each round need to be kept, so the post holder will need to upkeep excel spreadsheets and insert appropriate wording into certificates which are presented to winners. They will arrange for the certificates to be signed by a director and despatch them appropriately.

Both the Business Excellence managers and the Staff Engagement team hold workshops, seminars and Continuous Improvement events throughout the year. This post holder will play a part in logistics, planning and setting these up. The role will cover many aspects, from helping to organise events, locating suitable hotels, arranging travel, liaising on catering and accommodation and attending to support the team activity. As part of this role the post holder will become familiar in continuous improvement and staff engagement activities and terminology.

As a supporting member of the Business Excellence team, this post will provide general administrative support, setting up meetings for the year, finding locations and booking rooms. For these meetings, an agenda will need to be prepared by liaising with the senior managers and team members for items they wish to discuss. Following the meeting, the post holder will prepare minutes to be circulated to the team for approval.

This post will also monitor and order stationery and other items using the electronic payment system called P2P and deal with invoice payments/ accrual records as needed. Also this post holder will make arrangements for new equipment or changes to equipment or resources for the team using the electronic “Change Request System”.
