Job description


The Team

The work of the Corporate Financial Services Team (CTFS) covers a broad range of corporate work for banks, asset managers and other financial institutions.

We are currently looking to recruit a Team Administrator to provide full administrative support to the CTFS team. Building relationships and establishing trust in the support you provide.

Specific responsibilities include:

Administrative skills

  • Providing proactive administrative and organisational support to the CTFS team
  • Matter management support to include opening new clients, new matters, extending matter offices/partner roles and producing first draft engagement letters
  • Organising couriers and collecting and distributing team post daily
  • Filing and archiving
  • Processing expense claims and collecting and returning currency
  • InterAction input - double checking all events/meetings have been added and client information/contacts are up to date
  • Involved with the reporting of team absences
  • Booking internal meeting rooms and arranging room set up/catering when relevant
  • Arranging travel (taxi's, train bookings and hotels)
  • Providing scanning and photocopying support for the team
  • Attending weekly team meetings
  • Liaising with other support services teams (reprographics, IT, Document Production, Marketing)
  • Providing admin support on team event organisation (badges, signage, handouts, room set-up)
  • Providing support on producing, editing and amending document using Microsoft Office applications
  • To carry out any additional adhoc support required by the CTFS team as and when required

  • Ability to take personal responsibility and ownership of tasks assigned
  • A good communicator with individuals of all levels
  • Pro-active and positive with an ability to build working relationships
  • Ability to be flexible and self-motivated
  • Displays discretion when dealing with sensitive information
  • A strong team player


Skills and experience required
  • Effective and professional telephone manner
  • Experience in a demanding, high performing professional services environment
  • Excellent administrative, organisational and communication skills
  • Good attention to detail
  • Ability to work well under pressure, remaining calm and focused
  • Ability to use initiative/problem solve
  • Flexible approach as may be required in order to assist the team
