Job description


The Team

The global Marketing and Business Development (MBD) team is responsible for helping to ensure the practice fulfils its strategic business objectives, as well as setting and maintaining MBD best practice standards.

We are an experienced, global team and take pride in the fact that our specialisations cover the full range of MBD disciplines including advertising, bids, brand, client relationship management, digital and social media, editorial, events, internal communications, public relations, and sponsorships.

The purpose of this role is to provide full administrative support to the senior management team.

The role will report to the Chief Marketing Officer and Global Director of Clients.

The Role

  • Manage complex diaries in Outlook: arranging meetings in different time zones, sending and responding to invites resolving conflicts, confirming appointments and bringing forward papers.
  • Central point of contact for MBD queries.
  • Organisation of monthly team meetings, including running online webinars.
  • Coordination of international workshops.
  • Coordination of board reports and presentations.
  • Running monthly financial reports.
  • Organisation of new joiner induction schedules.
  • Making travel arrangements and observing budgets are in line with the Norton Rose Fulbright Travel Policy, to include:
  • Preparing travel pack (full itinerary, tickets, relevant maps and/or directions, contact numbers)
  • Booking hotels
  • Booking flights
  • Booking client and/or interoffice meetings
  • Arranging cash, currency, visa, passport etc.
  • Processing expense claims, payment requisition forms and returned advances, allocating to appropriate budgets.
  • Recording London MBD team absences and maintenance of team absence calendar.
  • Updating MBD intranet/collaboration site pages, including posting team updates.
  • Organisation of internal office/desk moves.
  • Ensuring that all electronic filing and paper based filing is up to date and maintained at regular intervals.
  • Initiate regular catch up meetings with managers and report to them on progress of work.
  • Forward planning and prioritising your workload.
  • Photocopying, printing and scanning as required.
  • Any other tasks as required by the senior management team.



Skills and Experience Required

  • Established experience of supporting senior management, in a fast paced professional services organisation.
  • Events management experience.
  • Strong Academics.
  • Excellent organisational and administration skills.
  • Strong time management and prioritisation skills.
  • Ability to operate in a friendly, client focused, professional and discrete manner at all times.
  • Ability to engage with key stakeholders and deal with people at all levels within the organisation.
  • Strong team player.
  • Flexible and adaptable approach
  • Confident and fully competent with IT/use of Microsoft packages.
  • Excellent written and verbal communication skills.
  • Proactive and positive approach with a "can-do" attitude.
  • Meticulous attention to detail; always striving for high quality and continuous improvement.
  • Ability to work effectively under pressure.
  • Solution orientated and takes initiative.
