Business Manager Role

YSC's approach to project management has been honed over years of planning and executing holistic, award winning, delegate experiences. We ensure we are ahead of the game, ready to initiate activity in real-time, at the right-time, and from the vantage point of being involved in the end-to-end consulting process. The Business Manager is integral to this approach.

A Business Manager is an experienced client and project manager who heads up a small operations team that support a varied portfolio of clients. This is an office-based role, where there is a geographical office (YSC's standard working from home policy applies). The Business Manager must ensure that all client projects are cohesive and seamless. They are a role model for best practice; demonstrating to their team exceptional process, communications, problem solving, self-management and relationship building.

Client Coordinator Role

The Client Co-ordinator role will require the individual focusing on a client portfolio alongside the Client Teams & Business Manager. This role is to be the day-to-day contact for specific clients and projects, liaising extensively with clients, consultants, and YSC's support functions.

Key Responsibilities

This will include some or all of the following:
  • Overseeing complex diary management and the scheduling of large volumes of client appointments (including in-person and via telephone/video conference), working to tight deadlines across multiple geographies.
  • Effectively building relationships with clients and consultants within the team.
  • Co-ordinating, preparing and providing administrative support to client events.
  • Supporting the Business Manager and Client Teams in ensuring the successful running of client accounts across the client portfolio.
  • Tracking, monitoring, and reporting on all aspects of their client accounts and projects.
  • Inputting into the strategic decisions made for the client portfolio.
  • Potential to line manage a more junior member of staff.
  • Managing own portfolio of clients effectively with the view to taking on more responsibility given successful performance.
  • Supporting the Business Manager in working closely with Client Directors, attending client meetings (internal and external) where necessary to ensure efficient and seamless delivery to the client.
  • Working with Business Manager to ensure appropriate client rhythm is implemented.
  • Responsibility for ensuring accuracy of client-related financial processes, invoices, purchase orders, and proficiency with a data analytics.


Key Skills and Personal Characteristics

  • Excellent communication skills: This role will require extensive liaison with senior- level clients and the internal team at YSC. The candidate must therefore be able to demonstrate confidence, credibility and flexibility in managing all of their stakeholders.
  • Organisation and planning: High levels of organisation, prioritisation, and planning skills in managing multiple work streams; excellent diary management.
  • Excellent administration and technical skills: Proficient in Windows packages, particularly Excel and Outlook, to manage a large-scale project efficiently and easily; strong understanding and eye for grammar; excellent document proofing skills.
  • Excellent attention to detail: Accuracy; excellent standards of document presentation; excellent written and oral communication; proactivity and initiative to drive forward improvements in standards of service provided.
  • Resilience: Maintains confidence and optimism in the face of ambiguity; meets pressing deadlines; works well under pressure; has capacity to cope with volume.
  • Motivation: Interest and motivation towards our work and clients and a desire for personal and professional development; receptive to feedback; demonstrates conscientiousness, reliability, and pro-activity; open to new ideas and change; self- starter.
  • Relationships with clients: Outstanding 'public face' of YSC through exemplary dealings with clients e.g., excellent phone manner, professional approach, timely responses, builds relationships, warm, relaxed style.
  • Relationships with team: Enthusiasm and helpfulness to others through a collaborative approach and calmness under pressure; an ability to meet pressing deadlines.
  • Flexibility and adaptability: An energetic and positive-minded approach is essential. As well as the ability to contribute new ideas, approaches, and grasp new methodologies.


Experience

Required:
• Previous experience in client facing/project management roles, personal assistant - support multiple stakeholders preferred.
• Proven experience in diary management.

Desired:
• Experience working with a wider team, delegating to more junior members of staff
• Experience of working with multiple platforms such as SharePoint, scheduling platforms, etc.
