Reporting to: Head of Change Delivery
  • Programme Management Officer (PMO) is required to support our AIG Delivery Function (IT and Change) and ensure AIG standards and project/agile frameworks are clearly defined, understood and implemented by all team members and stakeholders.
  • Develop, Champion and continually improve AIG project and programme governance, controls, methods and tools to ensure best practices and quality deliverables to our internal customers and key stakeholders (including consolidation of simple but meaningful key messages /reporting/RAID to SLT (Senior Leadership Team) and Exec audiences
  • Work with the AIG Delivery Function (IT and Change) in shaping, planning /estimating, monitoring /reporting and execution of the combined AIG Life Portfolio to time, quality and budget
  • Facilitate conversations and process in regard to AIG and 3rd party resource allocations to ensure projects /teams operate efficiently and maximum delivery velocity is maintained

Key Responsibilities
  • Supports the AIG Delivery Function, including CIO, Head of Change Delivery, Project Managers and IT department heads in initiating and driving the delivery of the change/ transformation agenda across the whole of the AIGLL business, to meet the overall demand of stakeholders (demand created by the Senior Leadership Team (SLT), UK Board, AIG Parent / Group and Regulatory etc) .
  • Support the CIO direct reports in the construction and execution of a rolling 18 month portfolio of business and IT change
  • Support AIG Delivery and support the construction of suitable plans, RAID logs, CBA, lessons learnt, financials /time tracking, assurance/health checks and other key elements across multiple concurrent projects and programmes
  • Build and maintain the various resource demand models (in conjunction with consistent and best practise estimation model and gated project approval process)
  • Provide proactive and pragmatic guidance and advice to project manages, teams, sponsors and other stakeholders throughout the life of their projects to improve delivery / outcomes.
  • Work to ensure effective cross-project and cross-team communication. (including helping to interpret key strategic performance indicators to drive prioritisation and decisions)
  • Coordinate the resolution of cross-project RAIDS, highlight consistent or common themes.
  • Maintain the SharePoint and other document repository for status reports, work plans, proposals, change requests, etc.
  • Effective, timely, clear communication of PMO expectations to Change team members and stakeholders
  • Build, develop, and grow business relationships vital to the success of the AIGLL portfolio.
  • Manage stakeholders from team members through to senior managers making sure there is buy-in, minimising road-blocks, and ensuring continued commitment.
  • Supporting post-implementation reviews and continuous lessons learnt activities
  • Facilitate workshops for any aspect of the AIG portfolio including design, planning, tracking and problem resolution
  • Proactive in the provision of feedback and the delivery of ideas

Principal Skills
  • Team player
  • Proven experience as a PMO specialist / Project Assistant, preferably in an IT / Change Portfolio environment (3 years plus experience)
  • Pragmatic approach to PMO, focussing on what matters most (quality over quantity)
  • Great communication skills (project documentation, business cases, representing information visually, informal written communications such as blogs, and presentation skills)
  • Good awareness and application of PMO, Programme and Project Management tools, techniques and methods, (waterfall, agile, ADKAR)
  • Strong experience of Microsoft packages - Word, Outlook, Excel, PowerPoint and Visio skills
  • Experience in building / establishing a PMO from scratch in terms of polices, process and guidelines.
  • Highly organised, with structured thinking and problem-solving ability
  • Good influencing and presentation skills (Role requires interaction from Exec to developers)
  • Logical approach with clear and proven decision making ability
  • Great communication skills (project documentation, business cases, representing information visually, informal written communications such as blogs, and presentation skills)
  • Effective prioritisation and execution of tasks in a high-pressure environment is essential
  • Analytical and problem-solving capability to manage shifting priorities, demands and timelines
  • Demonstrate commitment and ownership of responsibilities
  • Strong leadership in a matrix organisation

Technical Skills and Expertise
  • Experience of improving PMO, project management capabilities, knowledge, competence, and skills
  • Experience of IT design and delivery using Agile/ scrum methodologies
  • University degree or equivalent qualification
  • Preferably qualifications in project and programme management (e.g. Prince2 practitioner, APM)
  • Extensive project experience with proven track record of delivery

Some out of hours working may be required in order to meet project deadlines. Some travel may be required for the purpose of meeting with clients, stakeholders, or off-site personnel/management.
